To process your annual Unified Carrier Registration, verify base state eligibility, and validate federal compliance status, we collect the following business and technical data:

• Motor Carrier Identifiers: USDOT numbers, MC/FF/MX registration numbers, legal entity name, DBA (Doing Business As) names, and primary business physical and mailing addresses.
• Fleet & Operational Details: Power unit inventory, vehicle classification brackets, straight truck counts, passenger vehicle metrics, and hazardous material haul indicators.
• Authorized Contact Information: Name of corporate officer or authorized dispatcher, direct business telephone numbers, and email addresses for digital certificate delivery.
• Billing & Payment Information: Payment card numbers, expiration dates, CVV codes, and billing addresses. All payment card details are encrypted directly via PCI-DSS compliant payment gateways and are never stored in plain text on our servers.
• Technical Logs: IP address, browser type, device identifiers, and timestamp data gathered during filing submissions for verification and fraud-prevention purposes.

2 How We Use Carrier Information

The information you provide is utilized exclusively for necessary commercial operations, including:

• Auditing carrier credentials against active FMCSA SAFER database records.
• Submitting, registering, and remitting mandatory statutory fees to official state base registries and the Unified Carrier Registration Plan.
• Issuing official PDF Compliance Certificates and filing confirmation receipts.
• Sending essential compliance reminders, filing receipt confirmations, and annual registration window renewal alerts.
• Preventing unauthorized filings, fraudulent submissions, and chargeback disputes.

3 Transmission to Regulatory Authorities

In order to fulfill our contracted filing duties, DOT Driver Certification LLC securely transmits your carrier registration details, power unit tier counts, and government fee payments directly to the designated state repository or the Unified Carrier Registration Plan Board system.

We do not share your private account data with any third parties except:

• Official state and federal transportation registries required to issue your compliance status;
• Secure payment processors and banking institutions handling transactional settlement;
• Authorized law enforcement or regulatory authorities when strictly required by enforceable subpoena or court order.

4 Data Security & 256-Bit Encryption

We implement robust technical, administrative, and physical safeguards to maintain the integrity of your information. All communications across our domains are protected by end-to-end 256-bit Secure Socket Layer (SSL/TLS) encryption. Access to carrier records is strictly restricted to certified compliance personnel with multifactor authentication protocols.

5 Electronic Messaging & SMS Privacy

When you supply a mobile phone number during lookup or checkout, you provide consent to receive transactional and compliance notifications regarding your UCR registration, certificate delivery, and renewal updates via SMS or electronic mail.

Opt-Out: Mobile phone numbers collected for compliance notifications are never sold or shared with third-party advertisers. You may opt out of SMS updates at any time by replying STOP or emailing us at support@dotdrivercertification.com.

6 Carrier Rights & Certificate Retention

Pursuant to transportation record-keeping standards, filing records and proof certificates are securely archived in our encrypted database so you can retrieve compliance documentation in the event of a roadside inspection, state audit, or DOT safety review.
